Report list

In the Data Analysis module, the list displays both preset (non-editable) and user-customized reports that the current user can access.

Each report displays the following information:

  • Report Name : The title of the report.
  • Metrics : The metrics included in the report.
  • Chart Type : The type of chart used to visualize the data.
  • Time Granularity : The time interval used for the data (e.g., hourly, daily, monthly).
  • Time Range : The specific time period covered by the report.
  • Currency : The currency used for cost values in the report.
  • Public Scope : The visibility of the report (e.g., private, specified cost unit, designated user).
  • Update Information : Includes the user who last updated the report and the update time. Note: For preset reports, the update user is displayed as "SavingsNow."
  • Reference Count : Indicates how many times the report has been referenced by dashboards. Each time a report is referenced, the "Reference Count" increases by one.

Other fields are consistent with those in the "Creating a Cost Report" section and will not be repeated here.

Report Query

At the top of the report list, there are options to query reports based on several conditions, including name, type, cost unit, and update time. Here are the details:

  • Report Name : Supports fuzzy search to find reports by partial or full name.
  • Report Type : Defaults to all types but allows selection between "Preset" and "Custom."
  • Cost unit : A report can be authorized to one or more cost units. The default is all cost units, but you can select any specific cost unit.
  • Update time : The default is all time periods up to the present. You can set a start and end time with the date selector, which supports day-level precision.

After clicking [Query], the report list will display the matching reports if any results are found; otherwise, the list will be empty.

Viewing a report

In the report list, select a report and click [Report Name] to enter the report details page. Here, you can view the specific rules and data associated with the report.

In the report detail page, click the [Full Screen Display] button in the top right corner to enter full-screen mode for the chart information on the left.

  • Hover for Details: In full-screen mode, you can hover over the chart to view specific numerical information.
  • Exit Full-Screen Mode: Press the [ESC] key or click the [Close] button at the top to exit full-screen mode.

Add to the dashboard

"Reports" from the data analysis module can be added to dashboards, providing users with a comprehensive and situational data kanban board for thorough analysis.

  • In the report list, select a report, click the [More] button in the action column, and select [Add to Dashboard] from the drop-down list;
  • In the pop-up window, check any number of dashboards (including both user-defined and system preset).
  • Click the [Confirm] button and then save and add the report to the selected dashboards. To cancel the action, click the[Cancel] or [X] button to abort the current action.

Clone reports

With the "Clone Report" operation, users can quickly create a new report by cloning an existing one and then modifying it.

  • In the report list, select a report, click the [More] button in the action column, and select [Clone] from the drop-down list;
  • In the popup window, modify the registration name (default is "report name + copy") and description information as needed.
  • Click [Confirm] button to save the cloned report. You will see the newly created report in the list. To cancel the action, click the [Cancel] or [X] button to abort the current action.

Delete the report

In the report list, you can delete a report by following these steps:

  • Select a Report: In the report list, choose a report, click the [More] button in the action column, and select [Delete] from the drop-down list.
  • Confirm Deletion: Perform the delete operation. If the report is referenced in a dashboard, it will also be removed from the dashboard.
  • Cancel if Needed: To cancel the deletion, click the [Cancel] or [X] button to abort the current action.

Note: For data security reasons, users should only delete reports they create or have permission to delete. Administrators can remove all custom reports for the enterprise.

Permissions configuration

In the report list, you can set permissions for a user-defined report by following these steps:

  • Select a Report: In the report list, choose a user-defined report, click the [More] button in the Action column, and select [Permissions] from the drop-down list.
  • Set Permissions: In the pop-up window, select the specific permissions as needed, then click the [Confirm] button to save the changes. To cancel the action, click the [Cancel] or [X] button.

The system provides five kinds of public scopes for report operation permissions:

  • Private : Only the report creator and enterprise administrators can view and edit the report.
  • Specify cost unit (read-only) : Only the report creator/administrator can view and edit the report; users under the specified cost unit can only view the report.
  • Specified cost unit (read/write) : Users under the specified cost unit can both view and edit the report, just like the report creator and administrator.
  • Designated user (read-only) : Only the report creator/administrator can view and edit the report; designated users can only view the report.
  • Designated user (read and write) : Designated users (multiple selectable) can both view and edit the report, just like the report creator and administrator.

Note: For data security reasons, users should only authorize reports they create or have permission to. Administrators can authorize all custom reports for the enterprise.

Subscribe to reports

In SavingsNow, reports support subscriptions, allowing a report to be emailed to specific users for viewing outside the system.

  • Select a Report: Choose any report (both user-defined and system-built) and click [Subscribe] from the Action list
  • Configure Subscription: In the subscription configuration screen that pops up:
    • Enable the [Subscribe Switch];
    • Set "Send Frequency" to select "daily", "weekly", "monthly", and specific send time.
    • Search for and select any number of target users, adding them to the right queue. You can also remove one or more users from the list on the right.
  • Confirm Subscription: Click [Confirm] to complete the subscription configuration.

Send the report

In SavingsNow, reports can be sent out immediately via email to specific users for prompt review.

  • Select a Report: Choose any report (both user-defined and system-built) and click [Send] from the action list.
  • Configure Recipients: On the configuration page, search for and select any number of target users, adding them to the queue on the right. You can also remove one or more users from the list on the right.
  • Confirm Sending: Click [Confirm]. All target users will receive the report information via email, and they can open the link in the email to view the current report.
